1 Name of RegulationThese regulations are called the Universiti Tun Hussein Onn Malaysia Regulations forGraduate Studies.

2 DefinitionsIn these Regulations, unless the context requires otherwise;

“Academician” means a fulltime member of the academic staff or an instructor ina permanent or contract position;

“Attendance Only” means the registration status of a course taken not for creditpurposes and is ungraded. It will be stated as HS (Hadir Sahaja) in the transcript;

“Centre for Graduate Studies” means the department established by theUniversity to manage, administrate and supervise graduate study programs;

“Comprehensive Examination” means an examination to assess the overallacademic ability of a student to determine if he/she is eligible for further studies atthe Doctor of Philosophy program level;

“Compulsory Attendance” means the registration status of a course that will begraded as HL (Hadir Lulus) if passed or HG (Hadir Gagal) if failed;

“Co-supervisor” means a person appointed along with the supervisor to supervisethe research and preparation work of a thesis. The Co-supervisor may be appointedfrom outside the Faculty or University;

“Coursework” means the implementation mode of a graduate study program thatrequires a student to attend lectures and/or academic training in the form ofassignments, project papers, etc;

“CPA” (Cumulative Point Average) means the average grade points accumulatedover all semesters taken;

“Credits Counted” means the number of credits taken into account in thecalculation of the GPA and CPA;

“Credits Obtained” means the number of credits obtained for a course completedwith a pass;

“Degree” means the award conferred by the University to a student who hasfulfilled the requirements for a Postgraduate Diploma, Master’s degree or Doctorof Philosophy degree or its equivalent;

“Examination”means any form of assessment to measure a student’s academicachievement;

“External Examiner” means a person from outside the University appointed bythe Centre for Graduate Studies with the endorsement of the Graduate StudiesAcademic Committee to assess the thesis/dissertation and examination of Master’sdegree program and Doctor of Philosophy program students;

“Faculty Graduate Studies Committee” means the committee formed at theFaculty to plan and regulate graduate study programs at the faculty level;

“Faculty” means any of the faculties at the University including the Centres ofStudy;

“GPA” (Grade Point Average) means the average grade points in a semester;

“Graduate Staff” means a person with a Doctor of Philosophy qualification or itsequivalent or is at least an Associate Professor with a Master’s degree qualification;

“Graduate Studies Academic Committee” means the committee formed at theCentre for Graduate Studies at the University level to coordinate and manage theacademic and examination affairs for graduate studies;

“Graduate Studies Committee” means the committee formed by theUniversity to endorse and report academic as well as graduate study examinationmatters to the Senate;

“Internal Examiner” means a University’s academician appointed by theCentre for Graduate Studies with the endorsement of the GraduateStudies Academic Committee to assess the thesis/dissertation and examinationof Master’s degree program and Doctor of Philosophy program students;

“Main Supervisor” means a person appointed as a Supervisor with Co-Supervisorto supervise the research and preparation work of a thesis;

“Oral Examination (viva voce)” means an assessment session in which a studentis required to present and justify his/her dissertation/thesis to the Panel ofExaminers;

“Panel of Evaluators” means a panel of two (2) or more members, includinga chairperson appointed by the respective faculty, to assess a graduate student’sresearch/project work;

“Panel of Examiners” means the panel appointed by the Centre for GraduateStudies to assess thesis and implement oral examinations;

“Plagiarise” means to use an idea, word, or work of another person withoutacknowledging its source;

“Program” means a graduate study program, i.e. a Postgraduate Diploma or aMaster’s degree or Doctor of Philosophy degree or its equivalent in certain fields;

“Qualifying Examination” means any test or examination determined bythe Faculty to assess the eligibility or level of academic achievement of a studentpursuing a graduate study program;

“Regular Semester means Semester I and Semester II taken at the University anddoes not include Semester III;

“Residential” means required to live on campus for a certain time;

“Senate” means the Senate of Universiti Tun Hussein Onn Malaysia;

“Special Examination” means an examination held for students who didnot attend the final examination for a valid reason deemed as acceptable by theUniversity;

“Standard Duration” means the minimum duration of study;

“Student Candidate” means a candidate who has been offered a place in aprogram but hasn’t registered for it;

“Student” means a person who has been enrolled for a graduate study program atthe University;

“Supervisor” means an academician appointed by the Centre for GraduateStudies on the Faculty’s proposal to supervise the research work and preparationof a thesis. A graduate student must be supervised by a graduate member of staff;

“Thesis” means an academic written work submitted by a student to fulfil therequirements of a graduate study program;

“UK” (Ulang Kursus) means the status given to a failed course repeated by astudent;

“University” means Universiti Tun Hussein Onn Malaysia.

3 Entry Requirements

3.1 Master’s Program

3.1.1 A Bachelor’s degree with good honours from Universiti TunHussein Onn Malaysia or any other institution of higher learning thatis recognised by the Senate;

3.1.2 Any other qualification equivalent to a Bachelor’s degree withexperience in a related field that is recognised by the Senate;

3.1.3 Other requirements stipulated by the University.

3.2 Doctor of Philosophy Program

3.2.1 A Master’s degree from Universiti Tun Hussein Onn Malaysia or anyother institution of higher learning that is recognised by the Senate;

3.2.2 A Master’s degree in any field and a Bachelor’s degree in a relatedfield that are recognised by the Senate;

3.2.3 A Bachelor’s degree with outstanding honours from Universiti TunHussein Onn Malaysia or any other institution of higher learning thatis recognised by the Senate;

3.2.4 Other requirements stipulated by the University.

4 Application

4.1 Application Process

4.1.1 Applications must be made by using the form provided andsubmitted to the Centre for Graduate Studies.

4.1.2 Incomplete applications or applications that do not meet thestipulated requirements shall not be considered.

5 Program Registration

5.1 Student candidates are required to register for their offered programsaccording to the requirements and by the deadline stipulated by theUniversity. This regulation also applies to candidates who apply for programsby research.

5.2 Students may apply to delay their study enrolments by not more than onesemester, subject to the approval of the Centre for Graduate Studies.

5.3 If a student does not comply with regulation 5.1 above without any reasonthat is deemed as acceptable by the University, the offer to the student willautomatically be cancelled.

5.4 Students are required to register for every long semester during their studyaccording to the requirements and by the deadline stipulated by the Universityuntil the results of the final examination are announced.

6 Types of Program Enrolments and Durations of Study

6.1 Students can choose to attend a program either fulltime or part-timedepending on its availability at a faculty.

6.2 Fulltime and part-time students are required to complete their studies withinthe stipulated duration as stated in Table 1.

6.3 Fulltime students must fulfil the residential requirement. The stipulateddurations of residence are given in Table 1.

6.4 The actual minimum duration for a program may be determined by theFaculty with the approval of the Senate, on the condition that it is not lessthan the minimum duration given in Table 1.

7 Change of Enrolment Type

7.1 Under certain circumstances, students may apply to change their enrolmenttype from fulltime to part-time or vice versa. Applications for change ofenrolment type can only be made once and is to be submitted to the Centrefor Graduate Studies through the Faculty.

7.2 If a student’s application to change his/her enrolment type is approved, thenhis/her remaining duration of study shall be calculated using a methoddetermined by the University.

8 Modes of StudyStudent may choose one of the following modes of study, subject to its availability at afaculty:-

8.1 by coursework only; or

8.2 by coursework and research; or

8.3 by research only.

9 Course Registration

9.1 Students are required to register their courses taken in every semester withinthe period determined by the University.

9.2 Students are also required to register their enhancement courses as determinedby the Faculty with the status of Attendance Only (HS) or CompulsoryAttendance (HW).

9.3 Late applications for course registrations made after the stipulated deadlinewithout any valid reason will incur a penalty. The penalty is a fixed amountof RM15.00 plus a rate of RM1.00 for every day past the deadline, up to amaximum period of seven (7) days. Applications received after this penaltyperiod will incur a fine of up to RM200.00 per course, subject to the appealbeing approved by the Dean of the Centre for Graduate Studies.

9.4 Students who do not register their courses within this period without any validreason that is deemed as acceptable by the University shall be terminated fromtheir studies.

10 Correction of Course Registration Details

10.1 Students are responsible for making any necessary corrections in theircourse registration slips within the stipulated period.

10.2 Uncorrected errors shall result in:-

10.2.1 the student being restricted from attending lectures; and

10.2.2 the course assessments being disregarded and given 0 marks (gradeE).

10.3 Students may add and/or drop courses within the stipulated period.

10.4 Late applications for corrections made after the stipulated deadline withoutany valid reason will incur a penalty. The penalty is RM25.00 per course upto a maximum amount of RM200.00.

11 Course Withdrawal (TD)

11.1 With the consent of their Supervisor or Academic Advisor, studentsmay request for withdrawal (TD) from any course registered in the currentsemester within the stipulated period. The status of TD will be recorded inthe course registration slip and transcript. Courses with the TD status willbe recorded as BH (Bring Forward) in the examination result slip.

11.2 Permission to withdraw from a course is subject to the minimum requiredcredit.

12 Attendance

12.1 Students are required to attend not less than 80% of the contact hoursdetermined for a course in lectures/practical work, including CompulsoryAttendance (HW) courses.

12.2 Students who do not fulfil Clause 12.1 above without any reason that isdeemed as acceptable by the University shall not be allowed to attendlectures or sit for any further examinations, and shall be given zero (0) marksfor the course or be graded as Attended but Failed (HG) for CompulsoryAttendance (HW) courses.

13 Academic Load

13.1 The total course credits that may be taken in a semester is six (6) to sixteen(16) credits for fulltime students and three (3) to twelve (12) credits forpart-time students, excluding research credits.

13.2 13.2 For the final study semester, where students do not have any remainingduration of study, the Centre for Graduate Studies, through the approval ofthe Senate, may grant exemptions to these minimum and maximum credits.

14 Credit Exemption and Transfer

14.1 Students may apply for credit exemption and transfer if they have passedan equivalent course from any other institution. Applications require theapproval of the Faculty’s Graduate Studies Committee. Applications mustbe made within the stipulated period.

14.2 Students may apply for credit exemption in their first semester of study bysubmitting the relevant documents. Only courses that are equivalent to thoseat UTHM and passed with at least a grade B equivalent may be considered.

14.3 Credit exemption will be taken into account in calculating the CreditsObtained only.

14.4 Students may apply for credit transfer in their first semester of study bysubmitting the relevant documents. Only courses that are equivalent to thoseat UTHM and passed with at least a grade B equivalent may be considered.

14.5 A maximum of 30% of the total credits may be exempted.

14.6 A maximum of 30% of the total credits may be transferred.

14.7 The combined total of credits exempted and credits transferred maynot exceed 50% of the total credits.

14.8 Credits transferred are not taken into account in calculating the CreditsCounted.

14.9 The Centre for Graduate Studies will determine the study duration forstudents who have been granted credit transfers, subject to the minimumduration of study.

14.10 Students who apply for this facility are subject to the minimum duration forstudy completion and must fulfil the residential requirement.

14.11 Any change in duration for maximum credits and in the minimum durationof study that differs from those stated above requires the approval of theUniversity Senate.

15 Thesis

15.1 The preparation of thesis must be done according to UTHM’s ThesisWriting Guide.

15.2 Students undergoing a graduate study program are required to submit four(4) copies of their thesis at the end of their study.

15.3 Students may only submit their own original academic writings that havenever been submitted to other universities. Sources, whether published ornot, that are referred to in writing a thesis must be quoted in the thesis.

15.4 With the consent of the Supervisor or Main Supervisor, students may publishtheir academic writings whilst they are still in the study program, providedthat the thesis must contain due acknowledgement to the University.

15.5 A Doctor of Philosophy thesis must not be more than 300 pages long. AMaster’s thesis must not be more than 200 pages long. The total number ofpages does not include appendices, tables and diagrams. However, approvalfor writing a thesis longer than the specified maximum number of pagesmay be obtained by applying to the Centre for Graduate Studies at least 3months before the submission of the thesis for assessment.

15.6 The thesis or project report must be written in Malay and must be precededwith the abstract and its English translation. In certain situations, a thesismay be written in English with the Malay translation of the abstract.Applications to write in English must be made to the Centre forGraduate Studies for consideration and subsequently endorsed by theDean of Graduate Studies.

15.7 Students undergoing modes of study 8.2 and 8.3 who are submitting theirthesis must:-

15.7.1 Notify the Centre for Graduate Studies in writing at least threemonths before the submission of the thesis for assessment;

15.7.2 Obtain prior written approval from the Supervisor.

15.8 Thesis may be published upon approval by the University.

16 Supervision

16.1 The appointment of Supervisors, Main Supervisors and Co-supervisors forstudents must be done according to the respective criteria and conditions.

16.2 Supervisors, Main Supervisors and Co-supervisors for modes of study 8.2and 8.3:-

16.2.1 Students undergoing a program by research will be supervised by aSupervisor or a Main Supervisor and a Co-supervisor appointed bythe Centre for Graduate Studies on the Faculty’s nominations.

16.2.2 The Faculty may propose a change or replacement of anySupervisors, Main Supervisors and Co-supervisors for a certainperiod and this appointment shall be made by the Centre forGraduate Studies.

16.2.3 If necessary, a student may apply to the Centre for GraduateStudies through the Faculty for the change of any Supervisors, MainSupervisors and Co-Supervisors appointed. The application mustbe submitted to the Centre for Graduate Studies no later than two(2) semesters after the appointment of the Supervisor(s).

16.2.4 Any change of any Supervisors and Main Supervisors is subjectto the approval of the Centre for Graduate Studies.

16.3 Supervisors, Main Supervisors and Co-supervisors for mode of study 8.1:-

16.3.1 Students undergoing a program by coursework will be supervisedby a Supervisor or a Main Supervisor and a Co-supervisorappointed by the Faculty and notified to the Centre for GraduateStudies.

16.3.2 The Faculty may change or replace any Supervisors, MainSupervisors and Co-supervisors for a certain period and this shallbe informed to the Centre for Graduate Studies.

16.3.3 If necessary, students may apply to the Faculty for a change of theappointed Supervisor or Main Supervisor or Co-supervisor andnotify the Centre for Graduate Studies.

16.3.4 Any change of any Supervisor or Main Supervisor or Co-supervisoris subject to the approval of the Faculty.

16.4 Academic Advisor

16.4.1 Students who are undergoing modes of study 8.1 and 8.2 will beguided by at least one Academic Advisor appointed by the Faculty.

16.4.2 The Academic Advisor is responsible for advising students on thechoice of courses and for monitoring student progress during theirstudy.

16.5 Project Advisor

16.5.1 The Project Advisor is an industry expert or an academician whomay assist students in their research projects. It is greatlyencouraged for the project to collaborate with the industry,technically and financially.

16.5.2 The level of experience, skill and expertise of a Project Advisor isconsidered to compensate for any lack of academic qualification, ifapplicable.

16.5.3 The Project Advisor is appointed by the Centre for GraduateStudies on the Faculty’s nomination.

16.6 The Main Supervisor must be a Graduate Staff currently working atthe Faculty or a Graduate Staff working at another Faculty but has therelevant expertise. A Graduate Staff who has been seconded, has resignedor has retired or any qualified individual from other institutions may only beappointed as Co-supervisor with the approval of the Senate.

16.7 Any family relations, including spouses, between the Supervisor and thestudent will automatically terminate the position of that Supervisor.

16.8 A Supervisor whose status has changed from ‘unrelated’ to ‘related’ tohis/her student must immediately inform the Faculty and the Centre forGraduate Studies for further action.

16.9 A Supervisor is reminded to always practice due consideration to avoid anycompromise in his/her professionalism and credibility while supervising astudent.

16.10 When a Co-supervisor is appointed, the Main Supervisor will bear thebigger job and responsibility while the Co-supervisor will act as the assistantto the Main Supervisor.

16.11 The Supervisor or the Main Supervisor is to submit a confidential reportto the Centre for Graduate Studies on the student’s work progress everysemester throughout the duration of study using the prescribed form.

17 Examinations

17.1 The following examinations may be held:-

17.1.1 Course examination;

17.1.2 Assessment of thesis;

17.1.3 Oral examination (viva voce);

17.1.4 Other related examinations.

17.2 The examinations for students undergoing mode of study 8.1 is the courseexaminations held every semester.

17.3 The examinations for students undergoing mode of study 8.2 of the Master’sProgram consist of:-

17.3.1 course examinations held every semester;

17.3.2 assessment of thesis;

17.3.3 oral examination to justify the thesis according to the Faculty’srequirement.

17.4 The examinations for students undergoing mode of study 8.2 of the Doctorof Philosophy Program consist of:-

17.4.1 course examinations held every semester;

17.4.2 assessment of thesis by a Panel of Examiners;

17.4.3 oral examination to justify the thesis before a Panel of Examiners.

17.5 The examinations for students undergoing mode of study 8.3 of the Master’sor Doctor of Philosophy Program consist of:-

17.5.1 assessment of thesis by a Panel of Examiners;

17.5.2 oral examination to justify the thesis before a Panel of Examiners.

17.6 Oral examinations to justify a thesis, if applicable, shall not be held morethan twice for a student.

17.7 Qualifying Examinations and Comprehensive Examinations:-

17.7.1 For certain programs, upon fulfilling the required duration or uponcompleting the required number of credits for a degree, studentsare required to sit for and pass a qualifying examination and/or acomprehensive examination to be eligible for further studies orfor conferment of a degree for a Master’s program, or for furtherstudies to a Doctor of Philosophy level.

17.7.2 Students who fail in the Qualifying or Comprehensive Examinationwill be given one chance to repeat.

17.7.3 The Qualifying or Comprehensive Examination will be conductedby an examination subcommittee of at least three (3) members(including the Chairperson) appointed by the Centre for GraduateStudies based on their skills with the Faculty’s advice.

18 Panel of Examiners

18.1 The Panel of Examiners is appointed by the Centre for Graduate Studies toassess thesis and to implement oral examinations. Its members must includeat least one Internal Examiner and one External Examiner.

18.2 The Panel of Examiners shall propose the oral examination results to theGraduate Studies Committee as follows:-

18.2.1 The student is conferred the degree if a satisfactory result isobtained; or

18.2.2 The student is required to make corrections before being conferredthe degree; or

18.2.3 The student is required to continue research work and repeat theoral examination; or

18.2.4 The student not be awarded the degree of Doctor of Philosophy butpermitted to resubmit revised thesis to be awarded the degree ofMaster; or

18.2.5 The student is graded as failed if the minimum requirement for thedegree is not met.

18.3 A report of the assessment/examination results must be submitted to theCentre for Graduate Studies using the prescribed form.

19 Grading System

19.1 The relationships between marks, grades, grade points and achievementlevels for coursework are given in Table II.

19.5 Incomplete (TS)

19.5.1 This grade is given to students who are unable to sit for their finalexamination or are unable to complete their coursework on medicalgrounds, due to valid reasons deemed as acceptable by the Centrefor Graduate Studies or pending management action.

19.5.2 The academic standing for the semester is recorded as Incomplete(TS).

19.5.3 The (TS) status shall remain until completion of the course.

20 Academic Standing

20.1 The method of evaluation of a student’s achievement depends on the modeof study:-

20.1.1 Mode of study 8.1 uses the CPA.

20.1.2 Mode of study 8.2 uses the CPA and the research grade.

20.1.3 Mode of study 8.3 uses the research grade.

20.2 The academic standing of a student is determined at the end of every regularsemester using the student’s CPA and research grade as given in Tables III(a) and III (b).

20.3 Students who receive the Conditional Standing (KS) status twice in a rowwill be graded as Fail and dismissed.

21 Passing Credits

21.1 Students must pass all the courses required in their study program.

21.2 The minimum credits required to pass and complete a program are given inTable IV.

23 Deferment, Suspension and Termination of Study

23.1 Deferment and Suspension of Study

23.1.1 Students may apply for deferment of study on medical grounds bysubmitting a certification by a Medical Officer of the Universityor from a Government Hospital. The deferment period dueto medical reasons will not be counted in the number of semesterstaken. However, deferment is limited to two (2) semesters only.Any extension is subject to the approval of the Senate.

23.1.2 Students may also apply for deferment on non-medical grounds. Insuch situations, the deferment period will be counted in the numberof semesters taken. Such deferment is limited to four (4) semestersonly for the entire duration of study.

23.1.3 Students who are granted deferment may not use any of the studentfacilities provided by the University.

23.1.4 For the purpose of conferment, any deferment period will not becounted in the minimum study duration.

23.1.5 Students who violate the University’s regulations may be dismissedor suspended for a certain time.

23.1.6 Plagiarism, any form of fraud or academic deviation is a punishableoffence under the University’s Rules for Discipline.

23.2 Termination of Study

23.2.1 Students who are dismissed or has failed may appeal to theUniversity for continuation of their studies.

23.2.2 Appeals must be made in writing to the Dean of the Centrefor Graduate Studies through the Faculty’s Graduate StudiesCommittee within fourteen (14) days of the result announcement.

23.2.3 Students may appeal on the following conditions:

i Appeals can be made only once in the entire duration of study.

ii The student has been dismissed because he/she failed in theexamination that took place only one (1) semester ago.

iii The student obtained a CPA of more than 3.00 but has used uphis/her maximum duration of study as given in Table I.

25 General Provisions

25.1 The University reserves the right to take appropriate action if a student isfound to have provided false information in his/her application.

25.2 All student applications and appeals regarding these regulations are to besubmitted to the Centre for Graduate Studies through the Supervisor or MainSupervisor or the respective Academic Advisors. The Dean of the Centrefor Graduate Studies will refer the applications and appeals to the GraduateStudies Committee for consideration and approval. If necessary, the Deanof the Centre for Graduate Studies will refer the decision to the Senate forapproval or endorsement before it is notified to the student.

25.3 Further means of implementation can be made under any provision in theseregulations. All implementations made must be observed.

25.4 The Senate may allow exceptions if thought to be in accordance to therequirements of these regulations.
