The 2009-2011 biennium marks the 65th anniversary of Tau Beta Sigma, giving us the opportunity tocelebrate our history while looking to our future. Fittingly, a major area of focus during this bienniumhas been the Sorority’s growth and long term planning. In addition to advancing programming in linewith our ideals, one of the first items of business was strategic planning by the National Council to review the Sorority’s mission and vision and update them to be in line with current and future operations for the next 5-10 years. Once the revised mission and vision were set, the Board of Trusteesand ΤΒΣAA Executive Committee paralleled their work by actively engaging in strategic planning. The results for all 3 groups were strategic action plans consisting of short and long termgoals and action steps to achieve them. Action has been taken for each, with some being completedand others scheduled to come to fruition in the next 2-10 years.

As you read further into this report, you will learn more about how the National Council, Board ofTrustees and ΤΒΣAA Executive Committee have worked together as well as side-by-side to achieve organizational goals in areas such as growing membership and funds, improving internal and externalmarketing, enhancing leadership development and eliminating hazing. When looking at a 5-year and10-year timeline, we are thrilled with both the growth prospects as well as the programming we will beable to roll out to support the Sorority and our membership. We sincerely hope you are pleased withthe progress we cite in this report and we look forward to a productive 2011-2013 biennium.

Thank you to all of the wonderful volunteers that are working to grow our Sorority on all levels. Continue the wonderful work that you do and make it a personal goal to help promote our missionand vision by staying involved with Tau Beta Sigma whether you are an Active, Alumni, Life or Honorary member or a Friend. Strategic Planning by the National Council, Board of Trustees and ΤΒΣAA Executive Committee resulted in a revised Missionand Vision, as well as the creation and execution of short and long term goals for each group

This biennium, Tau Beta Sigma celebrates 65 years of service to college and university bands

Chapter hazing risks required ΤΒΣ and ΚΚΨ to contract with a new insurance provider, at a higher cost to our membership, resulting in a 13% Active member dues increase and a 12% Initiate dues increase

Take a Stand for Tau Beta Sigma continued with National Officers attending the Durward W. Owen Risk Management College in2010 and 2011

A Risk Management Committee was launched to provide data and workshops for our students in the areas of liability and risk

An Insurance Reserve Fund was created to ensure the future financial security of the Sorority setting aside a percentage of surplusdues per member and initiate

A Chapter Field Representative Fund was created with $2 being set aside from every membership and initiate dues

One $500 General Fund Scholarship was endowed in the Trust Fund with General Fund Scholarship monies and Trust Fund Donations

The part time Alumni, Chapter & Colony Affairs Coordinator position was changed to become a 4th full-time National Headquarters staff position

A project was launched to create a Web-Based System for the online completion and submission of paperwork - Beta testing startedand a goal of launching nationally during the 2011-2013 biennium was set

A Membership Database Project was initiated to convert all paper membership records for each chapter into a computerized data-base, resulting in future streamlined operations at Headquarters

Strategic Planning Highlights

National Council The National Council met in November of 2009 for a strategic planning session during which a 2020 Vision and 6 Goals were developed to - Increase the number of active chapters • Design a networking program to retain student leader interestEnhance the Sorority’s image on a national scope • Increase Sorority membershipIncrease fundraising development and income • Eliminate hazing

Board of TrusteesThe Board of Trustees met in July of 2010 for a strategic planning session during which 6 goals were identified to ensure that thefinancial future of ΤΒΣ is strong - Improve Board Operations • Grow Board outreach/communication to prominent Sorority members and friends to cultivate supporters Increase Trust Fund donations • Improve and strengthen Board partnershipsIncrease Board visibility, stature & knowledge of our operations throughout the Sorority

Tau Beta Sigma experienced its most significant era of membership growth this past biennium since 1994 with over 3,509 Members and 146 Active Chapters accounted for at the end of the 2011 fiscal year

12 Colonies from which 11 new Chapters were installed during 2009-2011 biennium

• 17% overall membership growth from May 1995 to May 2010• 27% increase in new initiates from 1994-2010• 22% Life Membership Increase from 2001-2011• 8% Chapter increase from 2001-2011

The 2009 District Leadership Conference was open to all District Officers prior to the start of National Convention in Phoenix, AZ

The 2010 District Leadership Conference was reformatted to promote Leadership Development for the six District Presidents –Activities and discussions were guided by National Leadership with a focus upon:

The Future of the Sorority – involving the District Presidents in serious discussions about the roles, responsibilities and potential of our student leaders to shape our future

“The Student Leadership Guide” - giving the District Presidents tools to help them become more effective in their positions and guide their district-based leadership events and planning

Colonization Procedures were reviewed and refined - the Colony Handbook was remodeled to reflect current practices and needsof the Sorority

Women in Music Speaker SeriesΤΒΣ was honored to have Dr. Jill Sullivan, Associate Professor of Instrumental Music Education at Arizona State University, asour National Convention Women in Music Speaker at the 2009 National Convention, helping to prepare students for extraordinaryWomen in Music speakers that presented at each district convention:

The Mentoring Program was launched to encourage members to build relationships with professionals in their career fields -Guidelines and a survey for participants were developed and two rounds of pairings of students with professionals were provided

The Scouting for Music Program saw the development of a form letter for Chapters to use to increase participation and communi-cation with local troops - Communications were made with the National Councils of the Girl Scouts and other youth organizations

The Composing our Future song writing competition added The Affirmation to our Sorority song repertoire at the 2009 National Convention

A Jazzing It Up competition was launched to add another piece to our literature with the final selection being made at the 2011National Convention from the submissions received

History and ArchivesThe National History and Archives Committee worked diligently to organize, preserve and protect the history of Tau Beta Sigma. Accomplishments include:

• Acquiring proper storage and preservation supplies - including acid-free boxes for Petitioning documents, a fireproof file cabinet and new shelving

• Securing a $6000 Preservation Assistance Grant - through the National Endowment for the Arts• Partnering with Amigos Imaging Service - for a collections assessment of our historical records and artifacts and preservation workshop• Continuous cataloging and organizing of the historical documents of the Sorority• Use of the collections assessment as a training tool on proper storage and preservation• Compiling a look at our history from 1937 to 1946 for presentation at the 2011 National Convention• Focusing on and promoting 65th Anniversary celebration activities

The Board of Trustees spent a busy two years refining and redefining our roles and responsibilities while ensuring that the corporation remained financially sound by focusing on several different areas related to programming, fundraising, policies and financial reviews. Here is a snapshot of some of our achievements:

OperationsAn Advisory Panel was launched and comprised of five individuals selected for their professional abilities with a purpose of providing individual, professional feedback about topics related to their professional skills

The Board of Trustees conducted a 10 year review of the Trust Fund Agreement ensuring it was up-to-date with current practices and needs

A Committee Structure was developed to recruit volunteers to help support Board of Trustees projects in future biennia

FinanceA review of Trust Fund finances over the last 5 biennia was conducted to better understand the swings in income and expenses allowingthe Board of Trustees to better estimate both future expenses and the needed income to support the Trust Fund & Sorority programs

Trust Fund support for the Women in Music Speaker Series was increased from $1,500 to $,3000

ScholarshipsThe Board of Trustees Scholarship was renamed the Wava Scholarship to more accurately reflect its purpose

Two General Fund scholarships were financed by the Trust Fund in 2010

The Board of Trustees created a new Trust Fund supported scholarship open to a broader audience amongst the Sisterhood, namedthe Board of Trustees Scholarship, to be unveiled at the 2011 National Convention

PublicityTrustees supported and promoted the Sorority at the 2010 and 2011 Midwest Clinics and TMEA Clinics

Trustees provided support and workshops upon request at the 2009 National Convention and the 2010 and 2011 District Conventions

An annual edition of the President's Ring was published in 2010 and 2011 providing updates to Past National Presidents from theTrustees, National Council and ΤΒΣAA

Plans to launch the Legacy as a converted electronic version of the President’s Ring for all current and select past leaders in TauBeta Sigma were developed

PartnershipsThe Trustees met with the ΚΚΨ Board of Trustees and started discussions regarding opportunities to cultivate supporters of theNational Intercollegiate Band (NIB) and Commissioning Programs

An NIB Facebook group was launched by the Joint Boards of Trustees to provide past NIB members and leaders with a networkto further their professional contacts and musical interests

The Trustees worked with the National Council and ΤΒΣAA Executive Committee to help ensure current and future operationaland programming success

Tau Beta Sigma’s long term programs are supported by the Trust Fund. Ensuring continued programming through variousfundraising efforts continued to be a major focus of the Board of Trustees.

There was a 22.5% increase in Trust Fund Revenues driven by the National Convention donor campaign, 2 Friends of the Trust renewal campaigns, 2 Gift of Life Membership campaigns, the ReMember 65th Anniversary Campaign, GoodSearch/GoodShopand Life Memberships

The 2009 National Convention Fundraiser was the most successful to-date as the result of increasingly generous donations fromour membership

The first Life Membership fee increase since 1997 to $350 occurred on January 1, 2010

There was a 17% overall increase in Life Memberships, which included Gift of Life Memberships for Graduating Seniors

The 2009 Tribute Pins were donated by a generous sponsor - funding the NIB Composer fee

Over $1,525 raised since the launch of GoodSearch in 2007 and GoodShop in 2008

National Intercollegiate BandThe National Intercollegiate Band (NIB), which began over half a century ago, is one of the most exciting programs coordinatedand presented by Tau Beta Sigma and Kappa Kappa Psi. This ensemble continues to make a significant contribution to the advancement of the collegiate band. Open to all qualified collegiate musicians, whether or not they are members of the Fraternityor the Sorority, the NIB helps bring members face-to-baton with some of the most dynamically stimulating and respected conductors in America:

Commissioning ProgramSince 1953 we have joined with Kappa Kappa Psi to add 25 new pieces of band literature through our joint Commissioning Program, which is of prime importance in our national program of Service to Music

• The ΤΒΣAA hosted a DCI Picnic at White River State Park in 2010 in cooperation with the North Central District Alumni Association - Free for Alumni Association members and their families, alumni had the opportunity to watch groups warm up for their performances

• Tau Beta Sigma Alumni Meetups were launched serving as a focal point to organizing local alumni events Service Projects

• A Workshop Presenter Database was compiled for use by the National Council, District Counselors, and District CouncilsProfessional Development

• A series of Professional Development Calls were launched – future calls will be focused on specific career issues• A Mentoring Program is in development to expand our professional development offerings• District Convention Alumni Programming was provided based upon District Council needs • National Convention activities included a separate Alumni Track with programming geared towards alumni during every session

Partnerships• An active partnership with the Kappa Kappa Psi Alumni Association was started for mutually beneficial Joint endeavors• The ΤΒΣAA became affiliated with the SupportMusic Coalition, becoming part of advocacy efforts to support music

• The Rhapsody was published for members to stay apprised of ΤΒΣAA programs and projects• A ΤΒΣAA recruitment video was created and presented to members at District Conventions

Executive Committee• The ΤΒΣAA benefited from the time, talent and treasure of this dedicated group of alumni with attendance at District

Conventions, Winter Meetings, Summer Meetings and the 2009 National ConventionOrganizational Improvements

• Constitutional amendments were passed - the Chair became a position elected by the Executive Committee (EC), the EC expanded to six members and the Board of Trustees and EC were given jurisdiction to fill EC vacancies

We cultivate and sponsor a variety of music education programs for our diverse membershipand work closely with collegiate band directors.Our alumni association is an integral part of Tau Beta Sigma, promoting diversity efforts, social networking and assisting members in enhancing their professional leadership and employment possibilities after graduation fromcollege.
